Job Overview

The Human Resource Assistant will support HR operations, recruitment, and staff data management across Kakuma and Nairobi offices.

This role is essential in ensuring efficient HR processes, accurate recordkeeping, and employee support, contributing to smooth implementation of HR policies in an NGO environment.


Key Responsibilities

1. HR Data Management & Staff Records

  • Maintain accurate employee records and HR files
  • Update HR databases and filing systems regularly
  • Prepare HR reports and documentation for management

2. Recruitment Support

  • Assist with job postings and vacancy announcements
  • Coordinate interviews, candidate tracking, and onboarding
  • Maintain recruitment databases and reporting systems

3. Leave & Attendance Management

  • Track and manage staff leave records and attendance
  • Ensure compliance with organizational HR policies

4. HR Support & Communication

  • Respond to HR queries via email, phone, and in person
  • Assist staff with benefits, documentation, and HR processes
  • Maintain strict confidentiality of HR information

5. General HR Duties

  • Support implementation of HR policies and procedures
  • Provide administrative assistance to the HR team
  • Perform additional duties as assigned

Qualifications & Requirements

Education

  • Diploma in Human Resource Management or related field
  • Bachelor’s degree is an added advantage

Experience

  • Minimum 3+ years of HR or administrative experience
  • Experience working in NGO or humanitarian settings (preferred)

Skills & Competencies

  • Strong knowledge of HR policies and employment regulations
  • Excellent communication and interpersonal skills
  • Proficiency in HR data management and Microsoft Office
  • Strong organizational and multitasking abilities
